Steward Briefing Sheet

Thank you for stewarding. Your role is to welcome, signpost, observe, keep routes clear, and report concerns. You are not expected to physically intervene.

In an emergency

If there is immediate danger to life or safety, call 999.

Otherwise, radio the Event Lead or Deputy Event Lead and say:

1. Where you are

2. What has happened

3. What help is needed

Emergency Services rendezvous point (RVP):

First aid

Send or take people to the First Aid point, unless it is unsafe to move them.
For anything serious, call 999 and tell the Event Lead.

Lost child or vulnerable person

Take them to the Cartridges Law gazebo. Do not make public announcements naming a child or vulnerable person. Do not release them to an adult if they seem hesitant, distressed or unsure. Ask Hannah / Event Lead / police for advice.

Evacuation

Only begin evacuation if instructed by the Event Lead, Deputy Event Lead, Security Lead or emergency services. Stay calm. Direct people to the nearest safe exit. Keep exits clear. Help anyone who needs extra assistance.

Watch out for

• Blocked exits or access routes

• Trips, slips, cables or unstable items

• Overcrowding at gates, stages or narrow routes

• Unattended bags or suspicious behaviour

• Distressed children or vulnerable adults

• Unsafe behaviour near the bouncy castle, stages or food areas

Golden rule

Be calm, friendly and observant. If in doubt, report it by radio.

Radio Set-up Instructions

• Switch on.

• Check that Channel is 1 and Sub-Code is 1.

• To change Channel: press SEL and ▲▼; press SEL twice to confirm.

• To change Sub-Code: press SEL twice and ▲▼); press SEL to confirm.

• Press GRP/MENU.

• Press ▲ to scroll through settings.

• Check that PWR=ON, SLNT=n, TONE=1, ROOM=1, VOX=n; press GRP again to exit.

• To change settings: SEL and ▲▼.

Test the Radio before you start your shift

• Be some distance away from other radios.

• Send message: "[Your call sign] to Control, radio test, report my signal, Over".

• Wait for the response: "Your signal is Loud and Clear / Weak but Readable / Loud but Distorted / Weak and Unreadable, report my signal, Over".

• Report what you hear: "Your signal is Loud and Clear / … / Weak and Unreadable, Over and Out".

General advice about Radio Traffic

• Wait briefly after pressing the PTT (Press To Talk) button, then speak; otherwise your message may be truncated.

• Say “[your callsign] to [recipient callsign]” then your message; keep it short.
